Privacy Policy

Your information, handled with care.

Last updated September 2026

GradPlanHQ is built for students, so we keep data collection minimal, we explain what we do with it in plain language, and we never sell your information.

Information we collect

Account details you give us (name, email, school, graduation year), application and form answers, membership status, meetup RSVPs and attendance, posts you make in the community app, and basic technical data such as device type and pages visited.

Forms on this site

Our Beta application, contact form, advisory board form, and community partner forms collect only what we need to reply to you and place you in a cohort. We use those answers to follow up about GradPlanHQ. We don't sell them or pass them to advertisers.

The Practice Field Guide quiz runs entirely in your browser. Your answers are used to build your personalized PDF on your own device, and the quiz does not require an email address.

How we use it

To run your membership, host meetups, recommend relevant tasks and Project Launchers, send service emails, and improve the community experience. We don't collect payment during the Founding 100 beta.

Cookies and analytics

We use a small number of cookies and similar tools to keep you signed in, remember preferences, and measure how the site is used. Analytics events tell us things like how many people finished the quiz or opened the Beta application. They are used in aggregate to improve the site.

You can block or clear cookies in your browser settings, and most browsers offer a do-not-track or tracking-protection setting. Blocking analytics cookies does not limit your access to the site.

Service providers we rely on

We use outside tools to operate GradPlanHQ: an email provider, a video meeting platform for Action & Momentum Meetups, the GradPlanHQ Community App and directory, a calendar and RSVP app, website hosting, and analytics. Each one receives only the information it needs to do its job. We don't sell or rent personal data. We may disclose information if the law requires it.

Meetups, recordings, and photos

Momentum Meetups happen over video. Some sessions may be recorded so members who could not attend can catch up, and we will say so at the start of a session that is being recorded. You can keep your camera off, use a first name only, and stay off the recording. We only feature your name, photo, or project publicly if you say yes first.

Your visibility choices

Your member profile and directory listing can be public inside the community or kept private, and you can change it at any time. Anything you post to community boards is visible to other members.

How long we keep information

Application answers are kept while a cohort is being reviewed and for up to a year afterward in case you reapply. Member account and meetup records are kept while your membership is active and for up to a year after it ends. If paid membership is introduced later, financial records may be kept longer when tax or accounting rules require it. You can ask us to delete your data sooner.

Your rights

You can ask us to access, correct, export, or delete your account data by contacting us, and we will respond within a reasonable time. Depending on where you live you may also have the right to opt out of the sale or sharing of personal information. We do not sell or share personal information for advertising. Closing your account removes your directory listing and profile from the community.

Students under 18

Members under 18 can only join through a parent or guardian, who must review these terms and agree before the student takes part. Parents can contact us at any time to see, correct, or delete their student's information.

Members under 18 don't get access to the community app. They take part through one regularly scheduled monthly video meetup held on a set day and time, so participation stays supervised and limited to that session.

We don't knowingly collect information from children under 13, and we don't send marketing messages to members we know are under 18.
